How to Compress PDF Files Without Losing Quality
A 40 MB PDF is almost never 40 MB of text. Nearly all of that weight comes from high-resolution images, embedded fonts and scanned pages stored at print density. Compressing well is about reducing the data your eyes will never notice — not about throwing away detail at random.
Why PDFs get so large
Most oversized documents fall into three groups: scanned pages saved as full-resolution photographs, presentations exported with print-quality graphics, and reports containing charts embedded as lossless images. In each case the file stores far more pixels than a screen — or even an office printer — can reproduce.
Text and vector shapes, by contrast, take up almost no space. That is why a 200-page contract can be smaller than a single scanned invoice.
Choosing the right compression level
Low compression re-encodes images at roughly 250 DPI with high JPEG quality. The result looks effectively identical to the original and is the safest choice for documents you will print, such as portfolios or signed agreements.
Recommended targets about 200 DPI and is the level most people should use. It is tuned for screen reading and email attachments: text stays crisp, photographs stay clean, and the file typically drops by a third or more.
Extreme drops to roughly 150 DPI with stronger image compression. Use it when a strict upload limit matters more than fine detail — application portals, forms with size caps, or archiving large batches.
Practical tips for the best result
Compress once, at the end of your workflow. Repeatedly re-compressing an already-compressed file compounds artefacts without saving much space.
If a document contains a mix of scans and clean text pages, split it first, compress the scanned portion, then merge the parts back together. You keep sharp typography where it matters and save the most where the weight actually is.
Always review the first and last page after compressing. If small print is still comfortable to read at 100% zoom, the level you chose is right.
